Email blasts and self-serving promotions seem to be taking over our inboxes. With all the white noise these days, business email communication can fall victim to overloaded and desensitized recipients. Is it any wonder that our own business emails get incomplete or tardy responses, are overlooked, misread, or simply deleted altogether? How can your get results in this environment?

Every day we communicate with folks whom we depend on to get our jobs done. We need answers to time-sensitive matters that are in the interest of both parties. When we realize that our email recipients have developed time-saving strategies to quickly scan content for the action items, we can alter our approach to make it easier for them to take action.

1 Pick up the Phone. Live communication will save you hours. You can then document both parties’ questions, answers, and agreements in an e-mail. Its best to make live contact with someone as soon you know you will be working with them. By doing this first, they will be more likely to give your email timely responses. If there’s a misunderstanding in your email correspondence, settle it quickly by phone.

2 Subject and Chain. Chose words in the “subject” line that simply describe the topic so you can easily search for the history of the conversation. Build on this email chain, and if they break the chain, add it back in your response. That way you will have a chronological record of the commitments made by both parties.

3 The On-Ramp. A great mentor once told us that people only remember the first thing you say and the last. The subject and first sentence should enable them to put your email in context quickly, “Hi Mary, I wanted to get back to you to start our project.” Then briefly describe the reason for your email in 10-15 words. If it takes a paragraph to describe or explain the subject matter, consider a phone call instead.

4 Time Sensitive. State when you need their response and be considerate of when they need yours so you both can meet your schedules. If a request is overdue, after the subject write “TIME-SENSITIVE” in caps. Don’t over use or abuse this or your recipient won’t take your emails seriously.

5 Easy to Read. Use #11 or #12 font and chose an easy-to-read, non-serif font style like Ariel, Calibri, or Helvetica. There’s a good reason why the highway departments chose non-serif font. Limit each paragraph to 3-4 sentences. Break up run-on sentences. Try to keep your entire content under one-half page (250 words). Don’t make them scroll down the page.

6 Numbers or Bullets. Generally, use bullets to make points, and use numbers to list questions. Try to limit both to fewer than six. If you have multiple questions, make your closing statement, “Thank you for responding to each of these questions.” Many people have a tendency to only respond to the last question in a series. With those who don’t respond to lists, it may be better to send a separate email for each question, but be careful you don’t become a “pest.”

7. The Off-Ramp. Leave them with your requested action item and deadline. Then thank them using their name, “Thanks for getting back to us by Friday, Mary.” Select a reminder date to follow up with them. And before you hit the send button, always review your email for clarity and accuracy.

Email is a challenging form of communication. Try these techniques to get your message across clearly. Thanks for getting back to me next week to let me know how these tips worked for you.

Just getting an interview in today’s job market is a big deal for college grads, but landing the right job is a two-way street. But let’s go back a few steps and discuss how knowing where to apply increases your chances of getting hired by a company that is a good fit for you.

You may be lucky to get any job, but wait! It’s more than a job; it’s the beginning of your career. It may be your first opportunity to show your stuff, but will the company you are interviewing with allow for that? When you choose where to apply wisely, your chances of getting hired are more likely and your promotions will come more easily.

There are several factors you should consider before you apply for a position. The more you know about your perspective employer and what they are looking for, the better.

Applications. Consider a small startup company where you have the potential to make a big difference and be entrusted with increased responsibility. You may also have a much better opportunity to rise in position and salary more quickly as the company grows. So think about what experience, knowledge, and responsibility you will gain and how it will look on your resume to your next employer.

Commitment. Whatever company you choose, you should plan on being there for a minimum of two years. This demonstrates stability on your resume going forward and indicates to your future employer that you will be with them long enough for them to get a return on their investment – in you! Do your homework and don’t get stuck with an employer you don’t like. Two years can be a long time with the wrong employer, but you must stick it out for the duration lest you look “unstable.” Remember, the first thing an employer looks at during the resume vetting process is your job durations. And the first to be eliminated are the applicants that appear “unstable.”

Proximity. Unless you are working virtually or your job requires extensive travel, you will have to commute to your place of employment. If it’s too far from your home, you will be more likely to quit for another job if it is closer, even with slightly less pay, thus costing you less commute time and money. Your perspective employer knows this and it may work against you. So, unless you’re planning to move closer to the job you are applying for, focus your job search close to home. Employers want to hire employees with less than a thirty-minute commute.

Values. What does your perspective employer’s company stand for beyond the goods and services they provide? How do they treat their employees? Go ask a few. How do they treat the environment? Check out the press. How do they treat their customers? Do they have a positive brand image? Why does any of this matter? We have found over time that companies that score higher in these areas have less turnover, get less bad press and have a higher likelihood of staying in business. Don’t be the employee from the bankrupt, or no-longer-in-business company. It reflects on you!

So look for the right fit. Your job should be consistent with your career goals, provide ample opportunity for advancement, be nearby, and resonate with your personal values. Plan on being there for at least two years. Remember, it’s a two-way street that has to work for both parties. The more wisely you choose the companies where you apply, the more likely you are to land the right job!

For one thing, the school was founded by a woman, Lydia Moss Bradley, back in 1887, a time when women wouldn’t get the right to vote for another three decades! The ceiling for women wasn’t “glass” then, it was cast iron. Lydia herself was a real anomaly and pioneer as a female entrepreneur and educator.

After suffering many personal tragedies, she managed to amass a sizable fortune and dedicated it to education. She built Bradley University as her gift of light to the world. Originally dedicated to the study of clock making, it morphed over the years into engineering and then into the liberal arts.

In 2007, Joanne Glasser became the first woman president of Bradley University since it was built. She saw the need for a stand-alone school of entrepreneurship and recruited one of the top pioneers of entrepreneurship education, Gerry Hills. Gerry had developed an impressive program at the University of Illinois. He also was the founder for the Collegiate Entrepreneurs Organization (C.E.O.), created to encourage college students to start their own businesses. The C.E.O. has over 4000 members in 240 chapters in 43 states.

Joanne did not just want a stand-alone school of entrepreneurship, even though it was an innovative and relatively new concept. She and Gerry also wanted to see it collaboratively integrated with the other disciplines already in existence at Bradley. To that end, she created a committee made up of the deans of all the various schools and charged them with developing a program and sharing ideas with colleagues across the university to benefit all students. Joanne went on to raise 150 million dollars to renovate the campus and build the Turner School of Entrepreneurship in 2010, which was the first of its kind in the nation to offer entrepreneurship education to all majors.

We believe that true entrepreneurship can most successfully be taught by applying a strong background in sales and what we call business navigation. These skills require a solid foundation in the liberal arts and in the guiding principles necessary for success. The integrated program at Bradley not only offers a degree in Entrepreneurship, but also a minor in Entrepreneurship for those studying other disciplines, and even a shorter Entrepreneurship Certificate program.

This enlightened and flexible approach makes business education accessible to students who seek self-employment as well as to those who just want to better understand how business is conducted in the real world. This will give all Bradley grads a big leg-up in the work force as employers are increasingly looking for employees with some background in entrepreneurship. As they learn more about independent enterprise, students feel more confident about starting their own businesses, no matter their major.

Joanne Glasser and Gerry Hills’ dream has come true! The Turner School of Entrepreneurship is the model for the future of entrepreneurship education. Cheryl Sandberg has decried the “glass ceiling” for woman in the corporate world, but Bonnie has pointed out that there is no glass ceiling in the world of entrepreneurship. In fact when one practices out-of-the-box thinking, there is no ceiling at all.

How fitting that the vision of two women, Lydia Moss Bradley and Joanne Glasser, spanning over a century would create this great opportunity for men and woman to improve their chances at financial success.

Last week we were honored with the 2014 Distinguished Entrepreneur Speakers Award at Bradley University. Throughout the day we spoke to a number of students in various classrooms, culminating in a talk to a full auditorium of 350 students from all disciplines. At Bradley, in all subjects of study, students have the opportunity to learn how to run a business themselves. In today’s uncertain world, we look forward to seeing more universities teaching their students in this all-inclusive manner.

In fact, your ability to do so is a direct measure of your ability to fully understand the principle, not just copy the example.

In our fast-paced world with instant answers at the tip of our fingers, it’s easier to get an “answer” quickly and then move on with rest of your work. But if you think “work” is simply cut and paste, staying busy, and putting in your hours, think again. Are the answers so easily accessible you have forgotten how to extrapolate? Don’t become an automaton! The real work is reasoning, questioning, and looking for the root truth behind the examples that you are given so you don’t continue to require them for every situation.

We work with many young people in the colleges and in the work force. The question we often get is, “How can I move ahead in my career?” We think these young folks are very bright and capable, but they have grown up with a technology that can easily become a crutch as it panders to our inherent desire to want to do things in the easiest way possible without acquiring core understandings. It also panders to our desire to want everything in short bites, tweets, texts and the favorite, “just tell me the one thing…” Like, “Just tell me the one thing that makes the airplane fly.” OK, “It’s lift! Now, go build a plane!”

If you want a raise or a promotion you will have to prove to your boss that you got it, really got it; that you are not just cookie-cutting, not just copying-and-pasting, but actually applying what you have learned to a new situation. That’s the only way you will ever gain more responsibility, stature and compensation. And, by the way, respect.

Once your boss learns that he or she can trust and depend on you, you have proven your true value. Your boss needs the peace of mind that only comes when your decisions consistently demonstrate that you know what you are doing, and more importantly, why you are doing it.

Don’t look at work as putting in your “time.” It’s not just time you’re putting in, it’s decisions. When you just want the answers with no interest in the reasons and the principles behind them, you’re not learning, you’re copying. Don’t let the technology make you so lazy that you stop using your reasoning ability. Keep asking “why” till you understand the principle. Don’t look at the example that you are given to answer your “like what?” question as a one-off or isolated application, but as part of a bigger picture.

If you want that raise or promotion, get the bigger picture. The higher your viewpoint of the organization, what it’s doing and why, the greater your opportunities for advancement. Bosses want to delegate, especially in a growing organization. In fact, companies can’t grow without it. But the folks at the top who do the delegation have to feel confident that you understand the business as well as they do, so when they give you that power, you will make decisions the same way they do, or even better!

The real work is learning the reasons behind decisions and examples, learning the principles behind those reasons, extrapolating those principles to different conditions, and using those principles to make right decisions. Only then can you earn a promotion!
